Products, Pickup & Location
All products are available to rent and pick up locally right off of Times Square at our Manhattan location. Rentals have to be reserved in advance via the booking tools available on this site – either direct booking or through ShareGrid – and have to be approved by Camera Rentals NYC (“CRNYC”), such as identity verification and insurance verification, before equipment can be released to Rental customer or their authorized representative (“Renter”).
Rental Terms & Credit Card Authorization
Terms, Confirmation of Complete & Working Equipment
Renter confirms that they are renting the equipment (“Equipment”) as listed above from Camera Rentals NYC (“CRNYC”). Renter confirms that they personally – or through an authorized member of their crew – will receive and inspect Equipment listed above during check-out. Itemized contents of each equipment package can be found on www.camerarentalsnyc.com/inventory; we recommend taking photos of each case’s content during check-out to ensure a completeness for return. Upon check-out and by leaving CRNYC’s premises with the Equipment, Renter confirms all equipment is complete & in working order.
Renter has to return Equipment to CRNYC in working order. Renter has to inform CRNYC of any faults during the production in a timely manner, and Prodigium will do its best to assist Renter in resolving any malfunctions or answer questions regarding the Equipment. Renter confirms that they have the capability or staffing to professionally operate Equipment. Equipment includes any equipment that was requested or agreed upon by Renter. Camera Rentals NYC (“CRNYC”) is a d.b.a operated by Prodigium Pictures, LLC.
Temporary Custody, Non-Possession & Intentions of Legal Use
This agreement creates a bailment relationship only, where Renter (bailee) acknowledges having mere temporary custody of equipment while all possession rights remain solely with CRNYC (bailor) – no transfer of possession rights occurs at any point during the rental period.
By entering into this Agreement, Renter acknowledges that all equipment remains the sole and exclusive property of CRNYC at all times and that CRNYC does not voluntarily relinquish possession under any circumstances. Renter further acknowledges the obligation to return all equipment to CRNYC by the specified drop-off date and time as mentioned at the top of this document, and that CRNYC’s permission to possess the equipment automatically terminates at that deadline unless an extension is both authorized by CRNYC and paid for by Renter. Any use or possession beyond the agreed return date—without such authorization—constitutes criminal conversion of property and may be reported as theft to law enforcement immediately. Renter expressly waives any claim of ‘voluntary parting’ and understands that any attempt to sell, pawn, transfer, gift, or otherwise encumber the equipment is an act of criminal theft. Furthermore, Renter agrees that any such unauthorized possession or misuse shall be subject to all civil remedies available to CRNYC in addition to criminal prosecution, and that insurance carriers covering this rental shall treat these actions as theft, not a voluntary parting.
Geo-Tracking & Theft Prevention
CRNYC systematically equips select Equipment or encasings thereof with Apple AirTag Geo-Tracking devices. Renter acknowledges that Equipment is being tracked and consents to this tracking for purely professional purposes of theft prevention. Renter acknowledges that under no circumstances are they authorized to remove, disable or otherwise impede functionality of tracking devices in connection to the Equipment they are in temporary custody of. If Renter is the victim of theft or another crime, Renter must immediately file a police report, report the incident to the insurance carrier and to CRNYC. CRNYC will provide data from its tracking devices as a courtesy to insurance carrier and law enforcement in the case of a crime.
ID Verification and Fraud Prevention
Renter acknowledges and consents to third-party identity verification through Stripe’s multi-layer document and facial recognition protocols, and represents that all provided information is accurate and lawfully obtained. Any misrepresentation of identity, intent, or planned use of equipment shall constitute criminal fraud ab initio, with subsequent possession deemed unauthorized and criminal. False information immediately terminates authorization to possess CRNYC’s equipment, and CRNYC reserves the right to share Renter’s verified identity information with law enforcement, insurance carriers, and authorities in case of unauthorized activities.
Insurance / Replacement Value Deposit
Renter acknowledges that if Renter cannot provide sufficient coverage through a Certificate of Insurance (COI) for Rental, Renter is 100% liable for any damages caused to Equipment, including total loss, accidental loss, theft from unlocked vehicles, or conversion.
If Renter cannot provide insurance, CRNYC has the option to still accept the rental against a security deposit. If CRNYC decides to do so, it will place a credit card hold for the full value of the rental on Renter’s Credit Card, and will release the hold upon return and damage-free inspection.
Damages / Deductibles & Credit Card Authorization
If Renter causes any damage or loss to Equipment, CRNYC will arrange payment of L&D before or upon return. Payment can be processed via Stripe, Venmo, Zelle, PayPal, check, credit card or cash. For the interim, Renter is required to provide an active credit card and government ID. Renter authorizes CRNYC to charge their credit card for payment, adjustments, damages or other costs related to the rental.
Renter confirms that Credit Card is active and in their control, has no liens or other burdens attached to it. In case of a loss of credit card, Renter must notify CRNYC immediately and provide a replacement credit card within 24 hours.
Pickups, Drop-offs, Weekends
Pickups are after 12pm, Drop-Offs are before 12pm on the days booked; these half-days come free of charge. If Producer needs special considerations, they need to notify CRNYC ahead of time. Open hours are Monday-Friday, 9:30am-5:30pm. If for reasons of travel or similar Renter needs to drop off after hours or do an early pickup, a late fee of $40/hr will be charged for the first 2 hours, after that CRNYC will charge a full rental day.
Renter has to notify CRNYC about intentions to drop off on time or outside of business hours; otherwise our late return policy applies. If Renter needs to pick up or drop off on a weekend day, CRNYC will try to accommodate that request. If staff is available, a $50 weekend pick-up / drop-off fee will be added to the total.
Shipping, Delivery & Returns
We strongly recommend that rental items should be picked up and returned by Renter on-site at our CRNYC office located on 41st & Broadway in the heart of Manhattan. If your shoot is happening within Manhattan and we receive an advance request for delivery, we will attempt to provide same-day delivery at a premium charge, which will be determined based on the size of the order and is subject to availability. Physical ID of Producer will need to be verified upon delivery.
For some productions, a delivery + equipment setup service is preferred; in some cases an actual turnkey production service is needed. We do offer these services at a premium charge, subject to availability, staff needed and advance notice.
In some circumstances, Renters will pick up in person in New York City and request to ship items back via a delivery service. This can be possible as long as a return shipping is arranged with us ahead of the rental, and Renter provides proof of an insurance policy that covers the equipment during shipment. Renter will be liable for rental charges and/or damages until all equipment has been received in proper working condition to the CRNYC office.
